File Processing & Conversion Operations
Technical lifecycle of files submitted for processing
ScanPDF enables users to submit files to perform transformations such as conversion, compression, merging, splitting, and editing. Depending on the tool used, execution follows distinct technical workflows:
- Server-Side Execution: Standard document, image, and media converters upload submitted files to temporary directories with randomized UUIDs. Once output generation completes, source input files are unlinked, and the output is streamed to your browser via dedicated cleanup responses that delete the file from disk once delivery concludes.
- Client-Side Execution: Specific utilities—such as our in-browser Video Editor (Scan PDF)—execute locally in your web browser using WebAssembly (FFmpeg.wasm). In those tools, media files are processed locally on your machine without transmitting video streams to our backend.
Processing Boundaries: Files are stored temporarily on server infrastructure solely to execute your requested conversion or editing job. See our Privacy Policy for complete details on temporary storage lifecycles.
User Files & Content Ownership
Clear protection of your intellectual property and document rights
We respect your intellectual property rights. You retain full and exclusive ownership of all documents, images, audio, video files, and textual content you submit to ScanPDF:
- Zero Rights Transfer: ScanPDF claims NO ownership, copyright, or title over files you process through our tools. Uploading a document does not transfer any proprietary rights to ScanPDF.
- Limited Processing License: By uploading a file, you grant ScanPDF only the temporary, limited technical permission necessary to execute your requested conversion or transformation and return the result to your browser.
- Your Legal Responsibility: You represent and warrant that you own, hold valid licenses to, or have express authorization to process any file, media track, or image you submit to our tools.
Original files and generated outputs remain strictly your property at all times.
ScanPDF does not sell, license, publish, or train AI models on user-submitted files.

Accounts & Authentication
Rules governing optional account registration and credential security
Using ScanPDF's file converters, image editors, and media tools requires no registration. Account creation is strictly optional and is provided for users who wish to create, manage, and monitor dynamic QR codes and customized short URLs:
- Accurate Registration Details: When registering, you agree to provide truthful and accurate information (username and email address).
- Credential Safeguarding: You are responsible for maintaining the confidentiality of your account credentials. You must notify us promptly if you discover unauthorized access to your account.
- Account Liability: You are responsible for all activities and link deployments conducted under your registered account.
- Account Deletion: You may modify or delete your saved dynamic QR codes and short links directly from your dashboard at any time.
QR Codes & Short URL Rules
Operating obligations for dynamic link redirection services
ScanPDF provides short URL generation and dynamic QR redirection. Because short links forward visitors to third-party destinations across the internet, creators must maintain strict accountability:
- Destination Responsibility: You are solely responsible for the destination URL and web content to which your short link or QR code points. ScanPDF does not endorse, curate, or review external destination content.
- Prohibited Destinations: You may NOT configure short URLs or QR codes that direct users to phishing sites, malware distribution pages, illegal materials, hate speech, counterfeit goods, or deceptive landing pages.
- Deceptive Redirects: Using cloaking or redirection features to mislead visitors regarding the genuine nature of the destination website is strictly prohibited.
- Abuse Remediation: ScanPDF reserves the right to disable, suspend, or terminate any short URL or QR code reported for fraud, abuse, or legal violations without prior notice.
You maintain full responsibility for where your short URLs point and what content they present.
Deceptive redirects or malicious destination links will be suspended immediately upon detection.
Approximate city/country derived from IP routing; no device sensor access.
GPS captured only if visitor explicitly approves browser location prompt.
Creators must use link scan metrics responsibly and in compliance with privacy laws.
Link Analytics & Optional Location Features
Compliance obligations regarding scan event metrics and GPS verification
ScanPDF short links provide aggregate metrics (access timestamps, referring platforms, browser user-agents, and approximate geographic regions):
- Aggregate Scan Logs: Analytics provide statistical insights to link creators. Individual visitors are identified only via one-way cryptographic hashes for unique visitor estimations.
- Optional GPS Verification: Link creators may activate an optional "Require GPS" setting for localized check-in workflows. Precise GPS coordinates are collected only if the visiting user grants voluntary browser permission. Creators must not misrepresent the purpose of location verification to visitors.
- Compliance with Privacy Laws: If you use dynamic QR codes or short URLs to engage customers or end-users, you are responsible for ensuring that your own collection of user traffic complies with applicable privacy notices.
Acceptable Use & Prohibitions
Prohibited activities and infrastructure protection standards
To ensure platform reliability, security, and accessibility for all users, you agree NOT to engage in any of the following prohibited activities:
- Malicious Code: Uploading or transmitting files containing viruses, trojans, worms, ransomware, or malicious scripts.
- Infrastructure Abuse: Attempting to overwhelm, disrupt, or disable ScanPDF servers through denial-of-service (DoS) attacks or automated high-frequency bot requests.
- Unauthorized Access: Probing, scanning, or testing the vulnerability of our systems, networks, or authentication barriers.
- Unlawful Content: Using tools to process child sexual abuse material (CSAM), non-consensual imagery, terrorist propaganda, or content promoting unlawful violence.
- Deceptive Redirects: Generating QR codes or short links designed for credential harvesting, fraud, or spam distribution.
Destination Independence
Short links redirect you outside of ScanPDF. Destination websites are independently operated and subject to their own terms and privacy practices.
Third-Party Websites & External Destinations
Disclaimer regarding external destination links and third-party services
ScanPDF incorporates integrations with verified third parties (such as Google Analytics and Google AdSense) and provides link redirection tools that forward users to destination websites across the internet:
- No Control Over External Content: ScanPDF has no control over, and assumes no responsibility for, the content, privacy practices, terms of service, or operations of third-party websites accessed via user-created short URLs or external links.
- No Endorsement: The inclusion of a link or dynamic QR redirect on ScanPDF does not imply an endorsement or recommendation of the linked destination.
- User Due Diligence: We encourage users to exercise caution and review the terms and privacy notices of external websites they visit.

Protection of ScanPDF brand assets, software, and design architecture
All proprietary rights in the ScanPDF platform remain the exclusive property of ScanPDF and its licensors:
- Platform Rights: The visual interface, branding, logo, web designs, CSS, scripts, algorithms, documentation, and underlying software are protected by copyright, trademark, and other intellectual property laws.
- Limited License: ScanPDF grants you a personal, non-exclusive, non-transferable, revocable license to access and use the platform tools for their intended purpose in accordance with these Terms.
- Restrictions: You may not copy, reverse engineer, decompile, resell, white-label, or redistribute ScanPDF tools or software code without prior written consent.
Code, converter interfaces, styling, and branding assets are owned by ScanPDF.
Your files remain strictly yours. We never claim IP over user-submitted content.
Service Availability & Modifications
Operational continuity, updates, and maintenance guidelines
We strive to maintain reliable platform operations, fast processing queues, and high tool availability. However, digital services can experience operational variations:
- Platform Evolution: We may modify, add, update, or discontinue specific tools, formats, or features at our discretion to enhance security or optimize performance.
- Routine Maintenance: Periodic server maintenance, software patches, or technical updates may temporarily interrupt access to specific conversion tools.
- No Unrealistic Guarantees: ScanPDF does not promise 100% uninterrupted, error-free, or zero-downtime service. We operate the platform with reasonable technical diligence appropriate to web utilities.
Tool Results, Format Limitations & Review
Understanding format variations and user verification responsibility
Document, image, and media formats operate under fundamentally different data architectures. While our tools use industry-standard libraries to achieve high-fidelity conversions, results depend directly on source file composition:
- Structural Differences: PDF is a page-layout format focused on visual coordinates, whereas Word (.docx) relies on reflowable text flow. Complex tables, custom fonts, or embedded macros may render with minor visual differences.
- OCR Text Recognition: Optical Character Recognition (OCR) depends on document scan resolution, lighting contrast, font legibility, and source clarity. Degraded scans may result in imperfect character recognition.
- Media Compression: File size compression involves balance between bandwidth and visual/audio clarity. High compression ratios may introduce minor compression artifacts.
User Review Responsibility: Always review and verify your converted, edited, or extracted files before using them for legal submissions, financial filings, official applications, or critical business purposes.
Standard Legal Basis
Services are provided on an "as is" and "as available" basis without express or implied warranties regarding specific fitness or universal compatibility.
